1. Who this policy covers
This policy applies to Digital Empire LLC and to this website. Digital Empire Wholesale is the brand name used by Digital Empire LLC; it is not a separate company. Digital Empire LLC is the controller of the information described below. Digital Empire LLC is a Texas limited liability company operating from Utah. Contact details are in section 11.
This is a business-to-business website. It is not intended for consumers and is not directed at children.
2. Information we collect
Information you give us
- Contact details submitted through the Request a Quote or Contact forms: full name, company name, business email address and phone number.
- Sourcing details you provide: product requested, specifications, estimated quantity, target delivery date, shipping destination and any additional information you choose to include.
- Correspondence you send us by email, phone or through an order, including order and delivery details.
Information collected automatically
- Standard server log data recorded by our hosting provider when a page is requested, which may include IP address, browser type, the page requested and the time of the request.
- Anti-spam verification data. The pages that carry a form load a verification widget from a third-party security provider. To tell a person from an automated script, that provider receives your IP address, browser and device characteristics and how you interact with the widget, and it may store data in your browser for that purpose. It runs only on the Contact and Request a Quote pages, and it is used for security, not for advertising or for building a profile of you.
This website does not set advertising or tracking cookies, and does not use analytics. It does not collect bank account numbers, routing numbers or card details; where a payment is made by card or bank transfer, those details are handled by the payment provider or bank concerned and are not entered on this website.
3. Why we use it
- To respond to your enquiry and prepare a quotation.
- To source products against your requirements and communicate with suppliers, distributors and carriers about your order.
- To issue quotations, order confirmations and invoices, and to take payment for approved orders.
- To arrange shipping and to resolve delivery, shortage or damage issues.
- To keep records required for accounting, tax and legal compliance.
- To operate and secure this website.
We rely on our legitimate interest in operating a business, on the steps needed to enter into or perform a contract with you, and on compliance with legal obligations. We do not sell your information and we do not use it for advertising.
4. Who we share it with
We share only what is necessary, and only with:
- Manufacturers, suppliers and distributors, to source and place your order.
- Carriers, freight providers and fulfillment providers, to ship your order.
- Payment processors and banking providers, to issue invoices and receive payment.
- Service providers that operate this website and our business systems, such as hosting, email and form-handling providers.
- Professional advisers, such as accountants and legal advisers.
- Authorities or other parties where we are legally required to disclose information, or where disclosure is necessary to establish or defend legal claims.
Sourcing and shipping may involve providers located outside your country. Where information is transferred internationally, we take reasonable steps to ensure it remains protected.
5. Form submissions
The forms on this site are handled by a third-party form provider, which receives the contents of your submission and forwards it to us by email. That provider processes the submission on our behalf and is subject to its own privacy terms.
Before a form can be sent, the anti-spam verification described in section 2 must be completed. That check is operated by a separate third-party security provider, which receives the technical data described in section 2 and returns a pass or fail result to the form provider. It does not receive the message you typed. That provider is also subject to its own privacy terms.
6. How long we keep it
Enquiries that do not lead to an order are kept only as long as needed to handle the enquiry and for a reasonable period afterwards. Order records, quotations and invoices are kept for as long as required for accounting, tax and legal purposes. When information is no longer needed it is deleted or securely disposed of.
7. Security
We apply reasonable administrative and technical measures to protect the information we hold, including transport encryption on this website and access controls on our business systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices
- You can ask what information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it.
- You can ask us to stop sending non-essential email. We will still send messages needed to handle a quotation, order or invoice.
- You can object to a particular use of your information, and we will review the request.
Send any request to the address in section 11. We may need to verify your identity before acting. Depending on where you are located, additional rights may apply to you under local law.
9. Cookies and similar storage
This website does not use advertising, analytics or tracking cookies. Any cookie set is strictly necessary for the site to function. Server logs described in section 2 are kept by our hosting provider for security and diagnostics.
The anti-spam verification widget described in section 2 may set a cookie or store data in your browser on the two pages that carry a form. That storage is used to run the check and to limit abuse. It is not used for advertising or for tracking you across other websites. If you block it, the forms cannot be sent, and you can email or telephone us instead using the details in section 11.
10. Changes to this policy
We may update this policy as the business or the law changes. The current version is always the one published on this page, and the date above shows when it was last updated.
